Who handles your information
Koji Skin Glow Aesthetic Clinic in Palanan, Makati uses your booking request details to respond and arrange a possible visit. This policy covers the website, not clinical care systems. The website processes no medical records. Please do not include health history, diagnoses or other sensitive information in the note field.
Your booking request
The booking form collects your name, phone number, treatment interest, preferred day or time and an optional note. It also sends traffic-source details: UTM source, medium and campaign, landing page and the referring website origin, when available. We use these details to respond to your request and understand which links bring visitors to the clinic. A request is not a confirmed appointment.
Where the request goes
The booking service emails the request to the clinic's designated booking mailbox. Requests are not stored in a website database. The booking service logs keep only timestamp, delivery status and traffic source, not names, phone numbers or notes. The email delivery provider processes the message to deliver it. Clinic mailbox access should be limited to people who handle enquiries.
Website feedback
On our test website, the feedback form collects the current page pathname, your comment, browser user agent, traffic-source tags and an optional image you choose to upload. These are stored in a separate feedback database for the website team, who may copy them into internal issue trackers to resolve website problems. Feedback is not a booking request. Do not send medical or personal data, or patient images. Feedback logs contain timestamp and status only, not your comment, image or IP address. The service uses the client network address only in temporary, expiring memory to limit abuse; it is not saved to the feedback database or logs. Feedback and internal copies should be deleted when no longer needed for website improvements.
Analytics and cookies
Google Analytics 4 runs through Google Tag Manager to measure visits, treatment-page views and booking or contact actions. Google tags may use cookies or similar identifiers and process browser, device and network information under Google's privacy terms. Form values are not sent in our analytics events. Meta Pixel is not enabled; if enabled later, it may measure visits and marketing actions through Meta cookies, and this policy and any required cookie controls must be updated first. You can manage cookies in your browser; blocking analytics does not prevent you calling or messaging the clinic. Session-storage flags remember whether the opening animation has played and whether you dismissed the website feedback button. They expire with the browser session.
Social services and referral links
Messenger, WhatsApp, Instagram and Facebook are third-party services. Opening their links takes you to services governed by their own privacy policies. They may receive information about your visit or the message you choose to send. UTM tags and referrer information help identify the traffic source; the website carries attribution in links and the booking request, not a database of your browsing history.
Retention, access and deletion
Booking emails are kept only as needed to respond, manage the request and meet applicable legal obligations; they should be deleted when no longer needed. Service logs and analytics follow the relevant service retention settings. You may request access, correction or deletion, or ask about retention and object to processing, by contacting the clinic. The clinic may need to verify your identity and explain any lawful reason it must retain information. Do not send identity documents or medical details through the website form.
Your rights in the Philippines
The Philippine Data Privacy Act of 2012 (RA 10173), its implementing rules and National Privacy Commission guidance form the governing privacy framework. You may raise a concern with the clinic first or contact the National Privacy Commission about your data rights. This website policy does not waive any rights under that framework.
